Time tracking functions

Adding/ editing / deleting time

Manual time adding/editing/deleting functions are available in Time sheet and Tasks modules.

  1. Login into Mobile Worker as administrator, advanced user, intermediate user or basic user (Note: basic user can only see the Time sheet module);
  2. Go to Time sheet tabor to Manage tab >Tasks in the main menu;

Adding time

  1. Click add1 button from the tool bar;
  2. You can add the following information to a task:
  • Task description;
  • Select  project,order and user name;
  • Under “Hours” section select Hour typeand enter Amount;
  • Select duration with From and To time;
  1. Press Save button at the bottom of the screen.

There are several ways time can be added to a task:

  • Enter From/To timesfor a specific task and the total amount of hours will be calculated automatically. Use this method if all hours added to the task are of the same type.
  • Enter the amount of hoursand task “To time” will be automatically recalculated. Use this task adding method when mainly matter tracked time amount – task “from” and “to” times are not that important.
  • Enter the beginning timein “From” and the number of hours worked in the “Amount” field. Finishing time in “To” field will be calculated automatically. Use this method to add hours to the task when the hours are either of the same type or of mixed types.

Note: To add several hour types to a task, click plus button in “Hours” section on task add form.

Editing time

  1. Select a task you want to edit and click on Edit edit_ic icon in Action column or edit name  from the tool bar;
  2. In Task edit form under hours section edit information;
  3. Press Save button  at the bottom of the screen.

Note: you are not able to edit the hours that are already approved.

Deleting time

There 2 ways you can delete time:

  • Delete task on which hours are registered;
  • Delete specific hour type in existing task.

Delete task:

  1. Select a task you want to delete and click on Delete delete icon icon in Action column or delete button  from the tool bar;
  2. Press Save button at the top right corner of the screen.

Note:  you cannot delete already approved hours. .

Delete specific hour type

  1. Select a task you want to edit and click on Edit edit_ic icon in Action column or edit name  from the tool bar;
  2. In Task edit form under hours section select hour type you want to delete and click close next to it;
  3. Your selected hour type has been deleted; task “from” and “to” times have been recounted.
  4. Press Save button at the bottom of the screen.

Assigning hour type on an order

With hour types assignment function you may define which hour types can be added to certain orders. When you are adding hours to certain order on device, the system will offer only the hour types you assigned to the order.

To assign hour type to orders, go to Assignments screen:

  1. Login to Mobile Worker as an administratoror advanced user;
  2. Select an order in project selector
  3. Click Assignments>Assignments edit at the top of the main menu.
  4. Open Hour types tab in edit Assignment screen,
  5. Check the boxes next to the available hour types ;
  6. Click on the  back button arrow at the bottom of the window;
  7. Your selected hour types are moved to Assigned hour types field on the left of the screen.

Note: if you want allow the user to add all active hour types to an order, leave assigned hour types field empty.

Web time tracker

Web Time Tracker makes it possible to track your work time and expenses with start/stop functionality via web interface.

  1. Login to Mobile Worker as an administrator, advanced, intermediate or basic user;
  2. Press on Time tracker icon save-icon ;
  3. Time Tracker will open;
  4. Activate Select order field and select the order from the drop-down menu;
  5. Activate Select hour type field and select hour type from the drop-down menu.
  6. Click on Start  Time tracking will start.
  7. To add expense press plus button at the bottom of the Start/Stop button.
  8. Stop time tracking by clicking on Stop button;
  9. Fill out the task description and add expenses, if needed;
  10. Click Save button at the bottom;


Adding time

In mobile device time may be tracked with start/stop functionality or added manually.

Start/stop time tracking gives you the option to track hours in real time.

  1. Before tracking time, select hour type by clicking arrow arrow-down on the Start button to identify what you do: working, driving, meeting or having lunch;
  2. Click on start The program will start calculating time automatically;
  3. To stop working, click on the Start/Stop button start-track  ;
  4. Edit task screen is opened where you may edit task information;
  5. Click on  +Add hours/expenses button and add other hour types if needed;
  6. Click Save button at the top of edit/create task screen to save your task details.

Add time manually

To add time manually follow those steps:

  1. Click on plus-button button in time tracking screen on the action bar.
  2. Choose Add task.
  3. Create/edit task screen is opened with default hour type and default hours duration on it, if they are set. You can find more information about setting default hour type and hour duration here.
  4. Edit task information;
  5. Click on  +Add hours/expenses button and add other hour types, if needed.
  6. Click Save button at the top of edit/create task screen to save your task details.

Splitting time

Time splitting function allows you to split tracked time into different hour types and time intervals without changing the start and stop time of tracked hours.  For example, if you tracked 5 work hours, you may split them to 1 hour driving, 0.5 hour meeting and 3.5 hours working.

To start using time splitting, activate Enable registered time splitting setting in time settings section. This setting is available when only one time tracking method is enabled: either start/stop function or manual time add. Please read more about device settings here.

Time splitting is available on both: new task add and existing task edit.

Split time on new task add:

  1. Add hours manually or with start/stop function;
  2. Split work hours screen is opened with default hour type and default amount (if time was added manually) or your tracked hour type and time (if time was added with start/stop button);
  3. Click on Add work hours button and add hour types on the hours you want to split ;
  4. Split your tracked time into your added hour types;
  5. When remaining time becomes “0”, click Save button

Split time on existing task edit:

  1. Open edit task screen;
  2. Click on any hour type;
  3. Split work hours screen is opened;
  4. Click on Add work hours button and add hour types on the hours you want to split;
  5. Split time into your added hour types;
  6. When remaining time becomes “0”, click Save button.

Inserting time

Inserting function enables you to insert new hour type on registered time entry by selecting the exact time when new hour type should be inserted. For example, if you have registered work hours from 8 AM to 5PM, you may insert lunch break from 12PM to 12:30PM.

There are two ways to insert hours:

  • Using Task set up screen;
  • Using insert-button button in task edit screen (available only for android app).

Task set up screen

Task set up screen allows to insert different hour types into tasks with a single click. This function is available only for newly created tasks, when task add form is opened. To enable task set up screen, activate Enable insert function on hours setting in device settings. Please read more about device settings here.

To insert hours, follow these steps:

  1. Click on  plus-button button on the time tracking screen in the action bar;
  2. Activate Do you want to insert hour type? setting in setup task screen;
  3. Select hour type you want to insert, from time and duration;
  4. Click Save button;
  5. Your selected hour type is inserted into a task.

Insert button in task add form

To insert hours with insert button, follow these steps:

  1. Open task add/edit screen with some hour types on it;
  2. Click insert-button button;
  3. In Insert hour type screen select hour type you want to insert, from time and duration;
  4. Select if you want insert new hour type within time rage or not. Within task range setting means that total task duration will not bee changed – your inserted hour type will use registered hour type duration. If within task rage setting is off – task duration will be extended by adding the duration of a newly added hour type. For example, . if task duration was 4 hours, after inserting new hour type, which lasted 1 hour, the total task duration will become 5 hours.
  5. Press Save
